What significance do standards and certifications have for my company? 👀
Quality standards create a basis of trust with your customers. They get a good, secure feeling when buying your product or service. 🔐

There are new products and companies online every day. This makes it increasingly difficult for consumers to find reputable providers. It is therefore all the better to have certifications. 📃

This applies not only to large companies, but also to educational institutions. After all, it is all about education and training, which is why the quality of this should also be confirmed by an auditor. An auditor is an external examiner and certifier who examines the processes according to the quality standards. There are numerous certifications, so it makes sense to have a consultant at your side. 🤝🏽

What are certifications?

In the growing digital market, consumers are flooded with many offers. To provide some clarity, there are certifications that a company can obtain. This should give customers the opportunity to assess whether what they are buying is right for them and whether the quality is right. 💡

But how is quality defined? This can be determined individually in each company.
You should ask yourself the following questions:

  1. To what extent are the customer's requirements met and recognized? 👂🏽
  2. How well is it implemented? 🛠
  3. Is the company responsible for the result? 💪🏽

In order to realize these questions, the Institute for Digital Quality Assurance works with standards. 

What are standards?

Generally speaking, standards are rules of conduct that regulate how we work together. They serve as orientation. In other words, what is considered "normal" in society. There are various norms in our society. 📜

The ISO standard is often referred to in the world of work. These exist in various areas. Auditors verify whether companies, institutions and authorities comply with the standards for management systems. This means that cross-divisional management tasks have clear rules, roles and processes.🚦

The best-known ISO standard is ISO 9001, which is internationally recognized and can improve companies at all levels, thus also ensuring a better external perception.

Daniel Graf was one of the first to deal with ISO 29990. This certification can be compared with ISO 9001, but it is used in the education sector. Instead of smooth processes in production, what counts here is monitoring. This means that project progress and compliance with quality standards are analyzed. To this end, all processes, results and the impact achieved are considered and evaluated. This also builds trust with the consumer. But how do I prepare my company for certification?

How does the preparation for certification work in my company?

Certification requires preparation for the exam. This sounds simple at first, but there are many different certifications. You need to decide which one makes the most sense for you. At this point, you can also consult a consultant. They will help you to analyze your processes in detail and find out which certification suits you best. 🤓

ISO 9001 is one of the largest certifications. All of the company's processes are scrutinized to ensure that they comply with the regulations. The regulations set out standards for quality assurance in the various areas. 🔎

You don't have to stick strictly to the rules, they just give you a framework. 🪟

Your certification in just 3 steps

  1. The analysis

You must first determine which certification makes the most sense for you and your company. It should bring you added value, for example by improving processes or increasing turnover. It is advisable to bring a consultant on board here, as they have been dealing with this topic for a long time. ⛵

With ISO 9001, every single process in your company is examined. The consultant is a neutral person and can therefore better assess processes. The current status of the processes is examined. Questions arise about the process flow and documentation. These are then compared with the requirements.

  1. The comparison of my current processes with the standard

Standards are formulated as a framework. This means that you are guided by these rules, but do not have to follow them strictly. An example of this is: "How do you ensure that your employees are competent?". To fulfill this framework, you need to define what competence is. Guiding questions for this standard would be, for example:

  • Does your company have job profiles? 💼
  • Are clear roles defined? 🎭
  • Is it clear what task this role has to fulfill? 📄

This gives you the TARGET state that you want to fulfill. This is compared with your ACTUAL state. ⚖️

  1. Evidence for the standard - The actual state

You now have to prove the following questions: How can you prove that the employee can really do this? How can I ensure that the employee remains competent? You now do this in every area of your company. This may sound more difficult, but don't worry, the consultant will help you prepare. He will go through all the processes with you and help you to develop them further

As the company is completely screened, the management will notice many more things that can be optimized. After all, certification not only benefits the consumer, but also you. 🔦

What advantages does certification offer me as a company?

Certifications are not only good for your public image and the trust you gain from your customers. They also serve to improve processes within the company and possibly increase sales. 🔖

Daniel helps his clients to rethink all processes during the preparation phase. As a consultant, he looks at things from the outside and asks objective questions. Spending hours on the processes always provides the management with new insights. This usually goes unnoticed in everyday life, as the processes still work. They are often quickly discarded, redeveloped and finally defined as a standard process. Although the problem is solved, these changes are usually not efficient. 🔀

It is clear that these processes do not follow a common thread. A typical example of this is accounting. Companies often have cumbersome processes for creating an invoice. They take data from one program, drag it into the next, then compare the documents and this is usually done manually. This could be much smoother and more fluid. Daniel records the processes with his customers in order to visualize and improve them. 🧶

Who can certify my company?

Once your company has developed processes that meet the quality standards, it is time for a performance review. This is carried out by certifiers, also known as auditors. They examine your company for errors and check whether you meet the quality standards. 🧐

TÜV Süd, for example, is one of the auditors. Thanks to its high level of recognition, TÜV enjoys a great reputation among consumers. Every 2 years, every car owner must undergo an MOT inspection. Your car has to pass several tests and a decision is made as to whether you can continue to drive it or not. It is similar with online stores. For example, it must meet the requirements for data protection, data and system security. Otherwise it will not receive a certificate, but - unlike a car - it will still be allowed to be online. 🚗

Daniel mainly looks after clients in the education sector. These include academies, universities and educational institutions, but also freelance teachers, application trainers and everything from a karate school to a dance school. 💃🏽

Daniel has been involved with ISO 29990 from day one and is an expert in it. 

ISO 29990 is the certification for educational institutions. All processes are examined and adapted in the same way as for ISO 9001. Education is an important topic in society. For Daniel, it was important to increase the quality of education, because education ensures that everyone can develop their personality and thus lead a fulfilled life.
What possible learning methods can I use for education to make it interesting?

Digital education via Memberspot

Many people believe that only large companies and corporations work with online courses. But that's not quite true. Memberspot is a software solution for numerous use cases. Controlling in the education sector

Daniel has been working in the field of education for a long time. He gives various lectures on the subject of online learning. The focus here is on the question of future learning. It's not about someone sitting down and making videos, but about the entire methodology. But the processes themselves in the institution also need to be optimized.

Daniel offers courses in occupational health and safety and other instructions that are needed in everyday working life. The function that prevents videos from being ended or fast-forwarded prematurely ensures the obligation to provide evidence. You know exactly whether the employee has watched the video and can also prove it. 

In instruction management, it often happens that members should receive the same videos. In order not to lose the overview, you can create accesses in Memberspot. This way, everything is grouped together and you know exactly which courses are available to whom. 

Can I get a certification without a consultant?

Many companies do not want to involve an external consultant. They assume that they would save costs. They therefore want to prepare for certification on their own. However, it is not that simple. Due to the open formulation of the requirements, companies can quickly feel a little lost. 🤷🏽

If you are not an expert in this area, you often ask yourself what is actually involved in the topic. Although you can assign an employee to take part in a training course and do the research, this takes a lot of time. Certifiers estimate that it takes around a year if a company takes matters into its own hands. However, your time has a value that you should not waste. Using a consultant speeds up the whole process and has a number of advantages, so you can invest your time in more important things.

What are the advantages of involving a consultant?

A consultant has already gone through this procedure many times and will work with you to achieve certification within 6-10 weeks. The time required until the inspection date should be reduced to a minimum for you. 🤏🏽

Customers are worried that they won't be able to implement all the improvements immediately. But don't worry! You don't have to implement them immediately, you just lack a common thread in your processes. You hire employees and have requirements for them. This is already enough.

The consultant will provide you with perspective development measures. This includes, for example, moving employee onboarding to an e-learning platform such as Memberspot. Videos offer a good training approach and you can track whether the employee has seen the video. So you don't have to implement everything immediately.

The advantages of a consultant are therefore the time you save and the impetus you receive for further development. Another point is that your consultant will support you during your inspection appointment. The certifier is out to find errors in your company. However, many auditors mention points that are not in the standard, so your consultant can show the auditor how you solve your process. ☝🏽

It makes sense to consult a consultant for a certificate, as this will save you an enormous amount of time and stress. A consultant can tell you which certification makes sense for your company. The process brings more structure and efficiency to your company.
